Provisional bookings

  • Unfortunately we do not take provisional bookings for weddings or functions.

Bookings

  • We will require written confirmation of your booking stating the couple’s names wedding date and estimated guest numbers.
  • Upon receipt of your confirmation e-mail an invoice for the venue deposit will be e-mailed to you.
  • Bookings are only deemed confirmed following receipt of either payment or alternatively an e-mailed / faxed ‘proof of payment’ (Sent to enquiries@redivorylodge.com / Fax 0865 407 407)

Payments

  • To secure the venue a deposit of R 5,000.00 needs to be paid within 72 hours of the invoice date otherwise booking will lapse.
  • 3 months prior to the wedding date we require 50% payment of the estimated wedding costs.
  • 2 weeks prior to the wedding we require the full balance of the wedding costs.
  •  For a wedding to proceed the full amount due must be reflecting in the ‘Red Ivory’ bank account.
  • Any outstanding amounts such as bar tabs, afterhours charges, must be settled prior to departure following the wedding.

Breakages and damages deposit
The R5,000.00 venue deposit serves as a breakages and damages deposits. 

The requisite amount of cutlery crockery glassware linen etc will be allocated to the function, the opening and closing balances are strictly monitored by management. The cost of replacing the damaged and/or broken goods (regardless of whom was responsible for the damage or breakages ie waiters, kitchen staff or guests) will be subtracted from the deposit. If damages and/or breakages occur all items are kept as proof of the breakage and will be available for inspection the morning following the function.

Should the damages exceed R 5000.00 an invoice for the additional amount will be issued and this will need to be settled prior to departure from the venue.

The balance of the deposit will be refunded 7 days after the function. 

Cancellation policy
In the event of a cancelled booking all deposits or amounts paid are forfeited.

Accommodation
Check in time is 12h00 and check out time the following day is 10h30.  If an earlier check in is required please make prior arrangements with the venue coordinator.


Music restrictions

  • Due to licensing restrictions DJ’s can play music until 12:00am after which the venue’s sound system will be played at a lower volume.

Venue hire

  • For evening wedding functions the venue fee covers for use of the facilities until 12:30am after which an overtime charge of R1250.00 per hour will be levied.
  • For breakfast, brunch or lunch weddings the venue fee covers use of the facilities until 18:00 after which an overtime charge of R1250.00 per hour will be levied.
  • For chef’s tables and all other functions nonresident clients have use of the venue for 5 hours after which an overtime charge of R1250.00 per hour will be levied.

Final guest number

  • Final numbers need to be confirmed one week prior to your function date.
  • For all weddings and functions we require a minimum of 50 guests.

Set up times

  • Access to the venue is to be confirmed with the venue coordinator. All set ups to the chapel and reception hall need to be completed 1.5 hours prior to commencement of the event.  Please ensure this is communicated to all your service providers.
  • All deliveries and collections are to be made through the area marked ‘DELIVERIES’ rather than through the main venue entrance
  • Please inform your service providers that Red Ivory staff are not to be asked to transfer their equipment/décor.
  • Any request must be directed to management if we have staff available, management will be more than happy to allocate staff to assist.

Venue Restrictions
We unfortunately do not allow the following:

  • The release of Wish, Sky lanterns or fireworks due to the fire hazards with bushveld on the farm.
  • Outside catering
  • Clients own beverages, all food and beverages must be purchased from Red Ivory.
  • Non biodegradable confetti (i.e. feathers, paper and streamers)
  • Dove or butterfly releasing. 
  • Floating candles in the ponds.
  • Candles/sparklers to be placed directly onto our linen; all candles must be placed in a candle holder.
  • Any rigging of additional lighting needs to be approved by Red Ivory’s in house electrician prior to the rigging taking place (At the clients cost)
  • Red Ivory will not be held responsible for any décor items, valuables and gifts that are misplaced, damaged or stolen. 

Children policy

  • Red Ivory is essentially an adult venue
  • It is also a full game farm with freely roaming leopard and other wild animals
  • The main banquet hall with its water feature  is unsuitable for young children.
  • Consequently guests under the age of 12 can be supervised in an area adjoining the main venue.  
  • We do offer a nanny service, for the evening; children also can be looked after in one of the guests suites allocated by the bridal couple.
  • We offer a children’s meal, this is a half portion of the standard meals ordered.  These are served at the same time as the banquet dinner they cannot be prepared or served ahead of time.  

Food Tastings

  • Red Ivory has published a comprehensive ‘storybook’ covering all our menus and dishes. With beautiful photographs, a detailed description of each dish.  The storybook is a useful tool to assist with your menu selections.
  • Our executive chef is also available to meet should you have questions or seek advice on food pairing.
  • The Red Ivory venue is booked 12 months in advance and is therefore unable to offer food tastings.

Included in your chapel hire (Please note venue hire does not include the chapel hire)

Included in your reception venue hire

  • Standard white damask table cloths and napkins

  • Standard crockery and a full set of cutlery
  • Cash bar facilities
  • Wine and champagne glasses
  • Cake tables
  • Gift table
  • DJ table
  • Couch areas
  • Designated area for welcome drinks and canapés
  • Backup generator
  • Backup water supply
  • Ample parking
  • 2 x suites for the bride and groom to prepare in (does not include stay over)

 

Large weddings

  • To accommodate weddings larger than 160 guests, Red Ivory will need to cover the feature pond.
  • A steel structure supporting/creating a new dance floor will need to be installed
  • As the installation is contracted to a qualified third party company the cost of installation and removal (R3500.00) will need to be covered by the bridal couple.

All persons entering or using the Red Ivory  premises for any purpose do so at their own risk and will have no claim against the company or directors for any damage or loss of property, death or injury suffered on the premises by any cause whatsoever.

Payment of the R 5000.00 deposit, confirms that you have read, understood
